Terms and Conditions – Cae Garw Barn/ Farmhouse and Touring Caravan Site

The Agreement

The conditions of rental are between the guest and the property owner. The contract is deemed to have been made once the guest has paid a deposit and the reservation has been confirmed. The guest must be over 18 years at the time of booking.

Booking

The person who makes a booking (the guest) will be responsible for all persons included in the booking and should ensure that they are aware of these terms & conditions.

Please be aware that the holiday contract is only valid for the persons stated on the original booking reservation. Please notify us immediately – PRE ARRIVAL - if there are any additional guests (max self-catering occupancy =5) – or extra pets staying at the property in addition to this – as a new booking contract will have to be set up. An additional fee (payable pre arrival) may be applicable.

The owner reserves the right to decline any booking or refuse to hand over a key to any person who has not complied with these terms & conditions.

Payment

For self-catering bookings made more than 6 weeks before arrival, a deposit of one 30% of the total cost of the holiday is required. The balance is due 6 weeks before the holiday commences. For bookings made less than 6 weeks before arrival, the total amount is payable in full on booking.

Email reminders are sent, but delivery cannot be guaranteed. Where a guest fails to pay their balance by the due date the booking may be cancelled and the deposit retained.

For the touring Caravan Site – full payment is needed upon booking.

Cleaning (self-catering)

Guests are responsible for leaving the accommodation in good order and in a clean condition – as was found; otherwise a cleaning charge will be levied of £50 per stay.

Please note that the convention for UK holiday cottages differs from hotels and other countries - in that guests are expected to leave the property in a similar state to which they find it.

Reasonable cleaning is expected at all times. (Pet owners should ensure that all dog fouling is cleared from the garden immediately).

Arrival/Departure

Cae Garw Barn and Farmhouse are available for occupation from 5.30pm on the first day of the holiday, and must be vacated by 9.00 am on the last day. Earlier check-ins will not be allowed – for whatever reason. Late vacations will be subjected to an extra charge per half hour – at the discretion of the owner.

Please note that for those guests ordering an online grocery delivery service - deliveries cannot be accepted on your behalf before 5.30pm.

Cae Garw Touring site - Arrival time 2pm onwards – vacating by 10 am on morning of departure.

Cancellation or Changes by the Guest

Once the holiday has been booked - the guest has entered into a legally binding contract. Cancellations must be notified in writing (or by email) to the owner immediately. If the guest cancel for whatever reason (including medical or weather related) then- no refund of the deposit will be due, and if within 6 weeks of your holiday, no refund of the full amount paid will be due.

The owner will endeavour to re-let the property (or pitch)- and if successful - may at their discretion allow the guest to transfer to alternate dates and/or accommodation/(or pitch) for a £50 administration fee plus any other expenses incurred in re-letting. The expenses incurred in re-letting will be at the discretion of the owner.

We therefore recommend and expect that all guest will have taken out a holiday insurance policy prior to their stay.

Please note that we cannot refund any monies paid due to earlier vacation of property – or pitch.

Pets

The owner must be notified immediately of any changes to the original number of pets stated on the original Booking Reservation. Any extra pets will be subjected to a charge of £20 each, payable PRE ARRIVAL.

WE DO NOT ALLOW ANY BANNED BREEDS OF DOGS .

Pets must be well-behaved - and not of a banned breed. THEY SHOULD NOT AT ANY TIME BE LEFT UNATTENDED IN THE SELF-CATERING PROPERTIES. (We have the right to terminate the contract should this happen.) Pets are not permitted upstairs, in bedrooms or on any furniture in the properties – nor on the wooden flooring of the barn. If damage or extra cleaning is caused by pets - the guest will be billed for that charge.

No garden is guaranteed as secure for pets.

Please note that under no circumstances is dog bedding allowed to be washed in the washing machine.

Please note that guest‘s dogs should ALWAYS BE ON A LEAD outside of the immediate property (or caravan), and should not be allowed to roam around the farmyard .This is a working farm.

Other Conditions

The supervision of children, babies, dogs and any adults requiring care remains the responsibility of the guest at all times.

If any guests fails to observe any of the conditions - or if a guests undertakes any kind of unruly drunken or antisocial behaviour (including nuisance or annoyance to occupants of nearby properties (or pitches) - then the owner will have the right to enforce all guest in the party to vacate the premises at once- without any compensation – and the booking will be terminated immediately. Please note that the use of illegal drugs is strictly prohibited.

Guests agree to inform owners of any damage or loss however caused during occupation. The owner may ask for reasonable replacement costs. Guests should not remove any item from the premises.

Guests should not leave any items at the premises and, if left, the owner has the right to charge for the removal, return or disposal of those items.

Guests should allow reasonable access to the premises by the owner - or any other authorised persons for maintenance or emergencies - as and when they see the need.

The information/photographs regarding each holiday property has been compiled as accurately as possible at the time of going to press. However facilities or physical attributes may be ALTERED or WITHDRAWN at any time. Property details thus may vary over time from photographs and descriptions on the website. Government Regulations re Covid 19 - will render some services unavailable - which we have no control over. The owner will not accept any liability for the cancellation of any advertised local events or services.

Wildlife: We live in a beautiful rural area. Please therefore expect to meet some wildlife, including the odd spider, mouse, bird, fly, bee, wasp or other creature, which may make their way into a property unbeknownst to the owner. Owners reserve the right to take no action if they do not consider the existence of the wild life to be a serious threat to health.

Complaints

Complaints Procedure: Any dispute arising out of the booking will be between the guest and the owner. No complaints can be considered unless notified during the guest's stay in or on the premises. It is the duty of guests to minimize any loss to them and therefore it is their responsibility to inform the owner at the earliest possible opportunity of any problem. Accidents howsoever caused during the holiday are not the liability of the owner. Complaints received after departure cannot be accepted as owners have no opportunity to resolve the complaint at the time.

Liability

The owner cannot accept responsibility for any loss or damage of property, (including pets), vehicles or vehicle contents belonging to the guest or any member of the party, or additional expense or inconvenience directly or indirectly caused by or arising out of the premises, its plumbing, gas, electrical services, Wi-Fi service or exceptional weather.

Cancellation by Owners

The owner reserves the right to refuse any booking and to cancel any bookings already made if the premises is unavailable for any reason whatsoever (eg through fire, flood,medical outbreak etc), The guest will be subject to a full refund of all monies paid .The owner shall not be under any other liability if such cancellation occurs. Note: in the unlikely event of a cancellation the owner will make every possible effort to secure alternative accommodation if required.

No Smoking

We operate a strict No Smoking policy within properties.

Force Majeure

The agent or owner cannot accept responsibility or liability for any alterations, delay or cancellation or any other loss or damage caused by war, civil strife, terrorist action, industrial disputes, fire, sickness, bad weather, epidemics, acts of any government or public authority, or any other event outside our control. The maximum liability accepted by the owner will be the total cost of the holiday as paid by the guest to the agent. No other expenses such as travelling costs or alternative accommodation will be accepted.

Waiver

The failure of the owner to enforce or exercise, at any time or for any period of time, any term of, or any right pursuant to this agreement does not constitute and shall not be construed as a waiver of such term or right. These booking conditions supersede all previous issues
